Outlook is full of surprises, that suprises that nobody use to use. On of that nice things are search folders. This feature allow organize your email without moving emails into “physical” folders. It’s a kind of virtual folders.

They are showed as regular folders, but content inside is the result of a search. Creating a new one is as easy as right click over Search Folder:

The next step allow us to specify which emails do we wish to be included in our new search folder

There are some prestablished filters, but you could create a custom search that will allow you create any specific search folder you need.

And that’s all, you have a new stored and superfast search folder. They are very useful to organize your email in a dynamic fashion way wihout all the mess involved in “physical” folders.

And you could obtain something like:

Very simple, fast and useful, as we like.

You should investigate Outlook rules. They are fantastic because you can perform task on your emails while they are going to your inbox, on the fly.

When you add a rule, you obtain this nice first dialog box

So you have here your triggers and you could select any combination of them, but you can choose Advanced Options and…. OMG!

You have a lot of options to choose!!!

After selecting under which circunstances, an email is processed by a rule, you choose witch action to perform over that email.

You can move it, assign categories, delete it, start application, play a sound, etc, etc, etc…

You could add any exceptions to this rule….

And finally, give a name to your rule and decide if you turn on your rule and/or you apply to your current inbox.

So now, tell me that rules are not Great!!

Some examples:

Every email that contains word “vim” must be labeled with category “Great Editor”, moved to folder “history”, forward to som friends and mark as important.

Every email from my boss must be market as important, play “Psicosis OST” and printed.

Every email which subject contains word “enlarge” must be deleted….

It’s quite easy to create a task from an email, you only need to drag your email and drop it on task button on navigation pane.

If you drop your email in:

Calendar: you have an appointment.

Contacts: you have a new contact with email address of your sender and content of email as a note (good option quick contact creation including sender’s signature as note for later edition).

Task: you have a task form with email subject as task subject and email content as text of your task.

Notes: you have a note with all the information of your email inside a note.

But, oh surprise, it’s true for reverse path. If you are in your calendar, you could drag and drop to email and create an email with data of your appointment, or you can drag and drop a note to email and you have a editing email form with all text of your note…. wonderful.

There is an easy and fast way to assign default category to outlook items (emails, taks, ….) with a single click.

Find icon in your toolbar

Click on it and again on Set Quick Click,

Choose your default category and Done!

Now, everywhere in Outlook 2010 where could see a column called categories, clicking in your item in that column is automatically categorized with your default category.
